Overview
What the Overview page shows to admins and members, what the banners mean, and what you see before Brain's memory is built.
Overview is where GuruSup Brain lands you after you sign in. It is the first item in the sidebar. What it shows depends on your role and on whether an admin has built the memory yet.
| Situation | Admin sees | Member sees |
|---|---|---|
| Memory not built yet | No sources connected yet: why a source matters, and the source cards with Build my memory | No sources connected yet and a note to ask an admin |
| Build running | The build progress screen | The same build progress screen |
| Memory built | Usage dashboard | A smaller personal page |
Before the memory is built
Until an admin confirms the first build, Brain has nothing to answer from. The sidebar item for admins reads Get started instead of Overview. It goes back to Overview as soon as the build is confirmed. It opens Home. The setup wizard runs once for each admin. Brain does not send admins back to it each time they sign in. If an admin skipped the sources, Home is where they finish.
Admin: No sources connected yet
Home opens with the line No sources connected yet, the headline "A Brain with nothing to read knows nothing." and the text "Connect where your team already writes. Brain reads it, builds your company memory, and answers from it wherever you ask." Three blocks explain the path:
- Connect a source: Slack, Notion, HubSpot, a webhook or your own files.
- Brain builds your memory: it reads everything, organizes it and flags what contradicts.
- Ask from your tools: Claude, ChatGPT, Cursor and more, with answers you can trace back.
Under them are the same source cards as in setup: Recommended sources (Slack, Notion, HubSpot) and Additional sources (Drop files and Custom webhook). A connected source shows a green check labeled Manage with its name. Once something is added, a line beside the button reads "Preparing your content. You can continue while we finish.", "Checking your content…", "Your source is connected." or "Your content is ready.", and Build my memory (it reads "Starting…" while it saves your choice) turns on when Brain has finished checking and a source is connected, a document is ready or something is still being prepared. After you click it, Home shows "Preparing your documents." until the first batch is queued, and everyone can close the page meanwhile. Home has no Back and no skip. See Quickstart and Connectors overview.
If your organization is a demo account, or ingestion is paused by GuruSup, the source buttons, Send JSON and the upload area are turned off. The upload area says the organization is read-only right now, or that ingestion is paused.
The first build, its states and what to do when it stops are covered in Quickstart.
Build in progress
Once the build starts, Overview shows a progress screen to everyone. The title changes with the stage:
| Title | Meaning |
|---|---|
| Your memory build is queued. | Your files are saved. Processing starts when a scheduled slot is available. |
| Brain is building your company memory. | Brain is reading your documents. It shows "[n] of [total] documents read". |
| Preparing your memory for questions. | The documents have been read and Brain is preparing answers. |
| Brain is picking up where it left off. | The build was interrupted and is continuing on its own. |
You can close the page. Brain turns on by itself when it finishes. The screen also offers Invite your team and Connect another app, and a link to email GuruSup if it is taking longer than you expected.
If a build stops, a card titled "Gurusup Brain needs attention" appears at the top of Overview. Admins get a retry button on it.
Member before the build
A member sees No sources connected yet and the text "An admin in your organization needs to connect a source before Brain can answer company questions." Ask an admin to connect a source.
Admin dashboard
After the build, admins see a dashboard for the last 30 days. It opens with "Hi, [first name]." and the line "The pulse of your Brain: platform usage over the last 30 days."
The three KPI cards
| Card | What it counts |
|---|---|
| Questions (30 d) | Calls to Brain by your team in the last 30 days: asks, searches and retrievals together. The coloured percentage compares the last 7 days with the 7 days before. |
| Active users | People who used Brain in the last 30 days, with the same week-over-week change. |
| All time total memories | Facts Brain has learned from your sources. Hover the info icon for the definition: a single fact backed by a source document or conversation you can trace back to. |
The small chart in the first two cards is the daily trend for the 30 days.
The usage bar
Under the cards, a bar shows how much of your organization's usage is spent, as counts of a technical unit with the figures on the right, as "[used] / [total]". Click More detail to open Usage, which shows the same usage in euros. The bar turns red when usage is fully spent. See Plan and usage.
Usage over time
Two tabs and a member filter control this chart.
| Tab | What it shows |
|---|---|
| Total queries | A year of days as a grid, one square per day, from Monday to Sunday. Darker means more calls. Hover a square for "[n] queries on [date]". |
| Queries per person | A 30-day line: calls divided by people who used Brain that day. |
The filter next to the tabs starts on All members. Pick one person to see only their activity. With no activity yet, the chart reads "No usage data" and "Questions will appear here once the Brain is used."
Connected sources
This card lists your top four sources with how many memories each contributed, and View all with the count when there are more. See Source status. With none connected it reads "No connected sources yet."
Most active team
The four people with the most calls in the last 30 days, with their department and count. The badge shows how many people were active. With none it reads "No team activity in this range." Someone you have since removed shows as "Removed user". For the full list of calls, open Queries.
Member page
Members see:
- A Get started card, "Connect your AI tool", with a Set up Brain MCP button that opens the Brain MCP page. Click Dismiss to hide it. Brain remembers this in your browser, so it can come back on another browser or after you clear site data.
- Two cards: Questions (30 d) (your own calls) and All time total memories.
- Connected sources, without a link to the Sources page, which is for admins.
Members don't see the usage bar, the charts or the team card.
Banners
A strip can appear at the very top of every page. Only one shows at a time, and the most serious wins. The demo and paused-ingestion strips have a close button that hides them until you reload. The others, including the payment and usage strips, cannot be closed and go away by themselves when the situation ends.
| Banner | Who sees it | Meaning |
|---|---|---|
| "Ingestion is paused because a payment needs attention. New content stays queued; you can still ask your Brain." or "Your subscription renewal is being confirmed. New content stays queued; you can still ask your Brain." | Everyone. Admins get View billing. | New content waits until the payment is sorted. |
| "You've used all of this month's usage. New content is queued until it renews or you upgrade." | Everyone. Admins get View plans. | Items wait as Paused on Ingest. |
| "You're in a demo account. Contact sales for full access." | Everyone in a demo organization | Your organization is a demo. The Contact us link writes to GuruSup. |
| "Ingestion is paused for this organization. Your sources aren't being read, so the Brain only knows what it already had." | Everyone | GuruSup paused reading for your organization. Only GuruSup can lift it, so use Contact us. |
| "Your company memory hasn't been built yet. Add content, then build your memory to start asking questions." | Admins, on any page except Home, until the build is confirmed | Use Build my memory. It takes you to Home. |
| "Brain is preparing your documents. Your memory will be built automatically when they are ready." or "Your sources have no documents ready to use. View progress for the next step." | Everyone, after the build is confirmed and before it is queued | View progress opens Home. It does not show on Home. |
| "Brain has no sources yet, so it can't answer company questions. Ask an admin in your organization to set it up." | Members, on any page except Home | Ask an admin. |
| "Your memory build is waiting to start, about N min to go." | Everyone | The build is queued. View progress opens Overview. It does not show on Home. |
| "Brain is building your memory, about N min left. Answers will be incomplete until it finishes." | Everyone | The build is running. View progress opens Overview. It does not show on Home. |
Sections that need a built memory (Sources, Ingest, Conflicts, Skills, Synapses, Queries and My requests) show "Available once your memory is built" until then. Before the build is confirmed, admins get a button back to Get started and members are told an admin needs to build it first. After it is confirmed, everyone reads "Brain is preparing your company memory." with View progress.
