Check source status
Read the Sources page, understand each badge and banner, confirm that data is arriving, and manage, remove or disconnect a source.
The Sources page shows every source feeding GuruSup Brain and how much each one has contributed. A source is one place Brain learns from: a Slack channel, a Notion connection, a HubSpot connection, a webhook or your uploaded files.
Only admins can open Sources. Members who try are sent back to Home. Open it from Sources in the sidebar, under Knowledge.
Before you build your memory
Until an admin builds the memory for the first time, Sources shows a preview and the line Available once your memory is built, with the title "Every app and file feeding your memory". Before the build is confirmed, admins get a Get started button that goes to Home, where No sources connected yet and the source cards let you connect apps and upload files. See Upload content and the Quickstart.
The same gate covers Ingest, Conflicts, Skills, Synapses and Queries. After you confirm the build, they say "Brain is preparing your company memory." with View progress. Once the first batch is queued, every section opens, and what Brain has read so far shows up as it is learned.
Banners you can see on any page
One banner at a time shows across the top of the app. When several apply, the one highest in this table wins.
| Banner says | When | Action |
|---|---|---|
| "Ingestion is paused because a payment needs attention. New content stays queued; you can still ask your Brain." or "Your subscription renewal is being confirmed. New content stays queued; you can still ask your Brain." | A payment or renewal problem blocks ingestion. | Admins get View billing. |
| Says you have used all of this month's usage, in euros, and that new content is queued until it renews or you upgrade | Your usage for the period is fully used. | Admins get View plans. See Plan and usage. |
| "You're in a demo account. Contact sales for full access." | Demo Mode. | Contact us. You can close it. |
| "Ingestion is paused for this organization. Your sources aren't being read, so the Brain only knows what it already had." | Ingestion is paused for your organization. You cannot lift this from the app. | Contact us. You can close it. |
| "Your company memory hasn't been built yet. Add content, then build your memory to start asking questions." | Before the first build is confirmed. | Build my memory, except on Home, which shows the sources itself. |
| "Brain is preparing your documents. Your memory will be built automatically when they are ready." or "Your sources have no documents ready to use. View progress for the next step." | After the build is confirmed and before it is queued. | View progress, except on Home. |
| "Brain is building your memory, about N min left. Answers will be incomplete until it finishes." or, while waiting to start, "Your memory build is waiting to start, about N min to go." | During the first build. | View progress, except on Home. |
On pages that show the Available once your memory is built preview, the unbuilt banner is hidden because the preview already says it.
Paused ingestion and Demo Mode on Sources
When ingestion is paused or the organization is in Demo Mode, the page also shows a note at the top: "External ingestion is paused." or "Demo Mode is active.", followed by "Existing sources remain available, but new external data cannot be added." When ingestion is paused, it adds that answers to questions Brain asked your colleagues still reach your memory.
In that state:
- Upload files and Add webhook source are off.
- Connect source stays on so you can browse the catalog, but the Connect buttons inside it are off.
- Every action in a source's Manage drawer is off: reconnect, add account, choose content, add data, regenerate token, remove source and disconnect. You can still open the drawer and read it.
What the page shows
Three tiles sit at the top.
| Tile | What it shows |
|---|---|
| Contribution to the Brain | A donut with one segment per source that has contributed. The center counts the segments as "sources". Hover a segment to see the source name, its percentage and its number of memories. |
| Collected events | How many incoming payloads Brain has archived ("raw payloads archived"). This is how much has arrived. |
| Total memories | How many memories Brain holds, "across N documents". A memory is one piece of knowledge Brain has learned. This is how much has been learned. |
The donut can include a segment called Added manually. It stands for knowledge that was added directly, for example through an assistant, and not read from a source. Only sources with the status active count towards the donut.
Below the tiles, Connected sources has one card per source. If you have none, the page says No connected sources yet, with "Connect an app or add a webhook source to begin collecting knowledge."
| On the card | What it means |
|---|---|
| Name and the line under it | The source name. The line shows how many documents Brain has indexed from it. Until it has contributed anything, the line shows the source type. |
| Badge | The status of the source, printed as it is stored (lowercase, for example active). See the next section. Uploaded files show Uploaded instead. |
| memories | How many memories came from this source. |
| contribution | This source's share of everything Brain knows, and the bar under it. Below 1% it shows one decimal, and below 0.05% it shows <0.1. |
| Manage | Opens the drawer for the source. The Uploaded card has no Manage button. |
New sources can show zeros for a while. The numbers grow as Brain reads. While the page loads it shows placeholders. If loading fails, a message tells you which part failed: "Could not load sources.", "Could not load source contribution." or "Could not load source connections.", followed by a line that says the request failed on our side and to try again, or that Brain couldn't be reached.
What the badge can say
The badge prints the status string as it is, so you see raw words. The color depends on the word.
| Badge | Color | What you can do |
|---|---|---|
active | Green | Nothing. The source is working. |
paused | Grey | The app has no button to pause or resume a source, and it does not say who set it. It does not count in the donut. Open Manage to see what is offered. |
revoked | Red | The drawer shows no Reconnect button for this status. To start over, remove the source and connect the app again. |
error | Red | The drawer shows "This connection needs to be reconnected." with Reconnect. |
needs_reconnect | Grey | Same as error: click Reconnect and approve access again. |
| Uploaded | Grey | Local Uploads. There is no status to manage. |
| Anything else | Grey | Treat it as not yet healthy and open Manage. |
A connection inside the drawer has its own badge with the same words. pending connections, meaning a connect attempt that was never finished, are not shown.
Check that data is arriving
The two pages answer different questions.
| Question | Where to look |
|---|---|
| Is this source connected and counted? | Sources: the card, its badge and its memories. |
| Did this specific message, page, deal or file arrive, and where is it now? | Ingest: filter by the source and find the row. See Follow ingestion. |
| Did something fail or wait? | Ingest: the Failed and Waiting tabs. |
Collected events rising means content is arriving. Total memories rising means it has been learned. The gap between them is content still moving through Ingest.
Manage a source
Click Manage on a card. The drawer shows only the sections that apply.
| Section | When you see it |
|---|---|
| Header with Connect or Add account | For apps you connect with an approval. It reads Add account when the app already has a connection. |
| Overview and Instructions | Short notes on what the source does and how to use it. |
| Connections | When more than one account of the same app is connected. Each account is a row with its own badge. Open a row to reconnect, choose content to import (Notion and HubSpot) or disconnect that account. |
| Connection settings | Only for apps that need extra values, such as a subdomain or a key. Slack, Notion, HubSpot, webhooks and uploads do not have it. |
| Events | Only for apps that let you choose which events to send. None of the live connectors has it. |
| Choose content | Notion and HubSpot connections, for admins. |
| Actions | Reconnect, add data, regenerate the webhook token, remove the source, disconnect. |
Add another account
To connect a second account of the same app, click Add account in the drawer header and approve access. The drawer then lists both under Connections. Disconnect in Actions is only there when the app has a single connection. With several, use the one inside each row.
Reconnect
If a connection has the status needs_reconnect or error, the drawer says "This connection needs to be reconnected." Click Reconnect and approve access again in the app.
Choose content
Choose content brings in content that existed before you connected. In setup you do not need it, because Notion and HubSpot import everything Brain can reach when you approve access. Admins see it on Notion and HubSpot connections. Search or browse, tick what you want and click Import selected. Brain says how many pages or deals were added. Added is not learned: follow them in Ingest.
- HubSpot: tick deals, up to 100 at a time. See HubSpot.
- Notion: tick pages and databases. You can also upload a Notion export instead, and follow its status in the drawer. See Notion.
Slack has no way to bring in earlier history. See Slack.
Webhook sources
For a webhook source the Actions section has two more actions. Details and examples are in Webhook.
- Add data sends data to the source from the app.
- Regenerate webhook token invalidates the current URL and issues a new one. Click it, then click Confirm when it turns red. Brain shows "Webhook token regenerated" with the new full URL, which already includes the access token, and a Done button. Copy it into your sender. A message that reads "token regenerated" after the source name also appears. The old URL stops working.
Remove source and Disconnect
Both ask for a second click. Click the button once, then click Confirm when it turns red.
| Remove source | Disconnect (under Disconnect integration) | |
|---|---|---|
| What it acts on | The source you opened. | The connected account, which can serve several sources. |
| What stops | Brain stops collecting for this source, and its card leaves Sources. A webhook source's URL stops working. A Slack channel source stops being read. | Brain loses its access to the account. Questions Brain was still waiting on in Slack through that connection are closed, and Ingest shows them as "Closed: Slack workspace disconnected". |
| What stays | What Brain already learned from the source. | What Brain already learned. |
Neither action deletes knowledge that is already in your memory, and this page has no way to delete it.
Disconnect removes the whole account, not only the source you opened. To stop just one source or channel, use Remove source.
Local Uploads has no Remove source and nothing to disconnect. See Upload content.
Both actions show a message that reads "removed" after the name when they succeed. When they fail the message starts with "Could not remove source." or "Could not remove connection." and continues with the reason or "Try again in a minute, and contact support if it keeps failing." A failed remove leaves the source as it was.
The shorter card on Home
Home has a Connected sources card that shows the number of sources and the top four by memories, each with its bar. When you have more than four, a View all N sources link opens this page. Use Sources for the full list and any action.
